Information we collect

When you contact us, book a consultation or submit a project brief, we collect the contact details and business information you choose to provide. This can include your name, role, email address, telephone number, organisation, project requirements, budget and delivery preferences.

Our hosting and security services may also process limited technical information such as request time, browser information, IP address and security events.

Do not submit passwords, API keys, health records, financial account details or confidential records about another person through a website form.

Why we use it

We use enquiry information to respond, assess fit, prepare for discovery, take requested steps before a possible contract and maintain a record of the conversation.

Our lawful bases depend on the context. They may include taking steps at your request before entering a contract, our legitimate interests in operating and securing the business, and consent where we specifically ask for it.

Automation may validate a submission, calculate completeness and prepare questions for a human reviewer. Clavex does not make a legal or similarly significant decision about you solely through this automation.

Who receives the information

Access is limited to people and service providers who need the information to operate the enquiry and delivery process. These may include our website host, email provider, automation platform, Google Workspace and professional advisers.

Where a provider processes information outside the UK, we require an appropriate transfer mechanism or other lawful safeguard where the law requires one. We do not sell personal information.

How long we keep it

Unsuccessful or inactive enquiry records are normally retained for up to 24 months after the last meaningful contact, unless a shorter period is appropriate or the law requires longer retention.

If you become a client, relevant information moves into the contracted client record and is retained under the applicable agreement, data-processing terms and business record requirements.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, or request portability. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing.

You may also complain to the UK Information Commissioner’s Office. We would appreciate the opportunity to address your concern first.
